The Department for the Organisation of Teaching and Learning at Nakhchivan State University has been established in accordance with the regulations of the Ministry of Science and Education of the Republic of Azerbaijan. The Department operates in compliance with the Resolution No. 348 of the Cabinet of Ministers of the Republic of Azerbaijan, dated 24 December 2013, on the “Approval of the Rules for the Organisation of Teaching through the Credit System at the Bachelor’s and Master’s Levels in Higher Education Institutions”, as well as the amendments introduced to this Resolution by Resolution No. 257 of 24 June 2017. The following matters constitute the general scope of activities of the Department for the Organisation of Teaching and Learning:
· Preparation of the academic calendar for each academic year (Bachelor’s and Master’s levels);
· Preparation of curricula and academic assignments for respective specialisations;
· Allocation and management of teaching workloads;
· Preparation and approval of class timetables;
· Preparation and approval of examination timetables;
· Organisation of classes and examinations for students with academic debts;
· Preparation of official orders concerning student transfers, reinstatement to the University, second higher education, academic leave, and military service;
· Approval of academic transcripts;
· Preparation of statistical data related to student movement;
· Approval of dissertation and graduation project topics, as well as preparatory arrangements for thesis defences;
· Collection of documents and preparation of official orders concerning students exempted from tuition fees;
· Regular entry of student orders into the Student–Graduate Electronic Information System, registration of newly admitted international students in the system, and entry of graduate-related information;
· Preparation of official orders regarding the composition of the Final State Attestation Commissions;
· Preparation of reporting forms required by the Ministry of Science and Education;
· Responding to official inquiry letters;
· Issuance of academic reference letters and certificates;
· Submission of graduates’ personal files to the archive;
· Completion and distribution of diplomas and academic records;
· Preparation of responses to diploma verification inquiries;
· Cooperation with faculty dean’s offices and other structural units of the University;
· Entry of relevant information into the Diploma Verification System of the Ministry of Science and Education;
· Entry of data into the Information System of Higher Education Institutions of the Ministry of Science and Education;
· Monitoring the preparation of students’ individual study plans;
· Preparation and organisation of examination sessions, including the provision of required regulatory documentation;
· Monitoring student attendance;
· Preparation of class registers and supervision of their completion;
· Preparation of official statistical reporting forms for the Ministry of Science and Education of the Republic of Azerbaijan, the Ministry of Finance of the Nakhchivan Autonomous Republic, and the State Statistics Committee of the Nakhchivan Autonomous Republic;
· Reception and maintenance of documents of newly admitted first-year students;
· Preparation of personal files for hourly-paid teaching staff;
· Monitoring the verification and preparation of graduates’ academic records;
· Preparation of the student admission plan;
· Preparation of scholarship-related orders;
· Supervision of the preparation and implementation of industrial and teaching internships;
· Organisation and supervision of the Summer School programme;
· Preparation of diploma-related orders;
· Collection of medical certificates from the Ministry of Science and Education of the Republic of Azerbaijan, their completion, and submission to students;
· Preparation of certificates and reference documents related to graduates;
· Supervision of the preparation and approval of lecturers’ syllabi;
· Preparation of open class schedules and supervision of their implementation;
· Supervision of the activities of subject classrooms, teaching laboratories, and centres;
· Supervision of the organisation and implementation of scientific-pedagogical and scientific-research internships for second-year full-time Master’s students;
· Preparation of monthly statistical reports on the number of residents and doctoral students.
